Cloud-based solutions have become one of the hottest trends in recent years. Businesses can take advantage of flexibility and scalability offered by cloud-based HR systems, but only when the software is deployed without any pitfalls. Organizations should be well prepared to evolve and adapt at the speed required for a successful software deployment.

Today, cloud-based software implementations have become common and very quick. Unlike traditional software deployment, where business IT departments were heavily involved, cloud installations are generally carried out by the HR managers or administrators.

To be successful in deploying and maintaining the new technology, the entire team should go through the provided training to acquire the proper knowledge, avoiding any pitfalls that may surface in this process.

Businesses should have a clear understanding of what the system can actually execute. How much maintenance is required, from where the support comes, and whether the governance models are in place?

New systems bring new ways of working – processes may need to be changed to fit with the new systems.Moreover, HR departments should have a clear understanding of what it has taken on with the new project.

The governance team should have a clear idea of the project vision – how the system looks, how will it integrate with the existing systems, and what new processes need to be developed so the application can complete its tasks?

Internal governance and a well-established data-driven culture within the business should be there to take full advantage of the data generated by the new solution. The web-based system should interoperate with existing HR systems such as ATS, time management, and payroll.

Identifying the resources required, set appropriate expectations, assign roles and responsibilities to the implementation and governance teams, and finally, the entire organization must be involved and take ownership of the implementation process. Make it clear to the teams where they must adapt the new system to their various requirements.

Common definitions for business and employee data, along with common process workflows, metrics, and reporting requirements must be created. Also, provide proper training for all the end-users – not just the project and governance teams.

Implementing a cloud-based HR solution has inherent complexities but with strategic planning and internal collaboration, businesses can ensure the likelihood of a successful on-demand HR software deployment.
